Description

Scrive eSign includes an e-archive for optional continuous storage of documents. Retention depends on the customer's own preferences in accordance with the below:

Retention and deletion of Personal Data in the e-archive of the Services:

• Personal data is retained in the e-archive of the Services in two types of instances; (i) as data included in a Processed Document or template document, and (ii) as meta-data related to the Initiator (or External Initiator, as the case may be), each signatory and any reviewer to the Processed Document.

• Processed Documents, templates and related meta-data will be retained in the e-archive for as long as the Controller has not deleted the same through any of the means available via the Services.

• The Controller is able to delete Processed Documents, templates and the related meta-data either by manual input, or programmatically via the API of the Services.

• When deleted from the e-archive, a Processed Document will be retained in a separate “trash-folder” in e-archive until the earlier of: a) the Controller empties the trash-folder via a command in the Service; b) 30 days has passed from the date of deletion, whereupon the Processed Document is automatically purged from the trash-folder, or; c) automatically and “immediately” (i.e. within 24 hours) if that setting within the Service is activated by the Controller. N.b. in the event the Controller desires to use the setting “immediately” on a company account level this is only configurable by the Processor subject to separate order and charges.

• When a Processed Document is deleted, related meta-data including any personal data is also deleted by default. N.b. The Processor will still retain the document id (unique transaction number) and date & time for sealing of the document in order to maintain a complete transaction log.

Retention and deletion of back-up data:

• Once a Processed Document or template (including related meta-data) is deleted from the e-archive, the back-up copy of the same will be deleted from Processor’s separate encrypted data back-up servers hosted by Processor’s back-up provider in accordance with Processor’s data retention policy. I.e. back-ups are currently retained for 6 months as from the deletion from the e-archive, where after the back-ups are automatically deleted.
